      Hey there! Completely understand, GoHighLevel is not great software 😅 definitely not built for a dental clinic, that's for sure! (Have a short coming out soon on GoHighLevel-moral: stay away from it). The main question we'd have is, are you using Google Workspace (recommended) or Microsoft 365? If you're using Google Workspace, then Copper would work great. What's more is that they've recently released a lead capture form that allows you to automatically get a form submission from your site into Copper as a lead: efficient.link/e/copper-form (this can easily be added to a WordPress site). And then from there you can even trigger automated follow-up emails to send out if you'd like with their automated email functionality here: efficient.link/e/copper-email All of that said, if you're unwilling to change over your form, you can also use efficient.link/r/outfunnel to connect a myriad of different form software to Copper (and even other CRM's mentioned in this video like Pipedrive). I'd recommend trying to make it work within Copper by itself though.       You can add as many as you'd like. I use it for my work, personal, and VC emails (all separate emails), even used to have my school email as well. So while they might have a technical limit, I haven't been able to hit it (all included in the same monthly cost).     Why not Taskade on this list? Seems like it has huge potential with it trainable agents and hundreds of prebuilt agents for all kinds of functions including task management.

      We wouldn't consider Taskade a "Time Management" tool, as there's a very specific category niche this video was meant to serve. Taskade is trying to be an all-in-one tool and leverage various AI tools across the board. We're more focused on reviewing and comparing highly focused tools that do one thing incredibly well and have clear business use-cases. We're a bit skeptical as to Taskade's approach. They seem a bit overwhelming and lost at the moment, but think they might have something cool with a bit more focus. Nonetheless, Taskade doesn't at all fit in this category, so that's why it's not on the list.

    hi, you helped me before in chosing the mail app. lets see if you can with the browser :) im wondering why you like Arc alot and whats the hype about. lets exclude the spaces feature... what would make me move aways from Safari and chrome? they are years and years of progress, stable, extensions, known companies...etc. why do the move, just for cleaner UI? also if you had only chrome and safari which would you use? I like safari but seems many sites are being so slow and not responsive and i need to use chrome....

      Ah, awesome to hear! I mean for one, I'd ask, did you happen to watch our full Arc video here? efficient.yt/browser as it might answer some questions. We also have a full write-up here that explains in more detail what we like most about it: efficient.app/apps/arc-browser I was using Chrome before Arc, big fan of extensions and never really got fully into Safari as I was actually a Windows then ChromeOS user for many years, moved to MacOS to switch to Arc, so haven't gone too deep into Safari aside from just evaluating it. But yeah, it's a lot of the features that Arc allows for, some of the AI features are a joy, like the shift + enter option which opens up the site it thinks you want to go to, which skips me from having to go to Google first. Peek is also great for just jumping in to take action and then back away without fully jumping to a new tab. It just feels like a more intuitive UI/UX that they are building across the board. Super appreciate you coming back, glad to see you again in the comments, feeling like a community is starting to form here thanks to you and others 🙏

      @@efficientapp Thank you for always replying back and giving the best explanation you could guys. That’s why I like always to ask you about your advice on apps here. I just watched the video fully and the article and I guess I’m still unfrotuntly not interested in what arc offers, maybe I need to give it another try to see it. You know moving browsers requires a new learning curve and that needs time, so it needs to be really worth it. Also need to know what methods should be used to get iCloud Keychain in, what extensions are good for example dark mode…etc. By the way do you use arc instead of Safari also on your phone? (I don’t like the fact it has no dark mode there and still don’t understand why it would be better for iOS).

      Awe, you got it! We try! Totally get it though, and hey, your best bet is to just give it a try, and I think you'd be surprised by how low friction it actually is to move to Arc. For a tool that you probably use more than anything else on your computer, getting some efficiency wins in your day-to-day workflows are worth the small investment of time to get things working. You can install any Chromium Extension to get "dark mode" on websites, and you can even fully customize any website yourself with Arc Boosts. You can see a video on that here: efficient.link/v/arc-boosts Regarding iCloud Keychain, Apple released a Chromium extension to solve that, you just need to use their iCloud Passwords extension made by Apple: efficient.link/e/icloud-passwords And finally, yes, Arc Search, it's genuinely just the user-experience, if you give it a shot you'll see what people love about it. They have a video showing it off on the app listing page, honestly just install it and play with it here and there, you'll know after using it if you like/prefer it or not: efficient.link/e/arc-search

      That's great to hear! And ah yes-I use my MacBook Air docked most of the time so I actually don't think too much about it. I do use it on battery often though and haven't felt like it has drained too quickly by any means. Are you seeing it draining more quickly than you'd feel comfortable?

    Then, there are those of us 'retiree's' that have to watch our budgets, so 'free' is our only choice unfortunately. I find $30. to be overzealous, no matter how helpful it is, as retiree's do tend to have time to go through our barrage of e-mail, it's just that we don't like to do so. I tend to do the copy/paste where I can delete e-mails in bunches, as most are ad related, or something I wanted to look at online, but you had to give your e-mail to go any further on a particular site. So, then there is the 'unsubscribe' feature, of which I make good use of, which works for most, but not all. Thanks for your own great video, but this is one I'll have to pass on, when there are many other free alternatives, including Mac Mail app, at least in my case.

    I spend an ungodly amount of time looking at 10 different to do lists for 10 different projects and trying to figure out what should I do next or what order I should do things in to make the absolute most of the limited time that I have and it ends up burning up the few brain cells that I have left. A software that can answer the question “what do I need to do next?” relatively accurately and can automatically reschedule itself is sounding pretty promising to me! …. and yes, I am aware that those are run-on sentences… It is a written representation of the entanglement in my brain. If motion can help, sort it out, imma go d/l it right now 😆

    This is just dumb. Not a hater but i've seen some of these features from Edge. Just because Arc decides to borrow some and add like two or three features and become the innovative browsers. Its Microsoft's mistake here because they care about AI now I guess. Let's not mention Edge had workspaces before Arc and before Edge, Opera had workspaces

      Ahh nevermind, I found it on the calendar. Glad it’s there but too bad it doesn’t auto calculate the travel time based on location data. Got a bit excited for a second

      Glad you found it! Yeah it's under create event then there's an option to add travel time. Interesting idea for it automatically calculating based on distance, although I could see that falling apart pretty quickly. e.g. my doctor appointment might be 7 mins away, and they want me to be there early, and traffic is TBD, not to mention am I walking? Or driving? How much time does it take to get to my car? Maybe you're Ubering there then walking back? So many variables that might change each time. You probably know best when creating the event how much buffer you need before (and/or after).

      We may take another look at it, although the truth of the matter is it's more barebones when compared to the others in the category and is more individual versus B2B focused, whereas the other daily planners mentioned in this video are meant for business use in addition to individual/personal. We're just trying to focus a bit more on the business side to software as it's where our expertise is and also what is a bit underserved from what we have seen.

      Not currently, for now the solution we use is creating a custom field and pasting in a Google Drive URL or pasting a Google Dive URL in the task description. While it may seem more inconvenient, we actually like having full control and ownership and full resolution through Google Drive versus having it just connected or re-uploaded to a separate app. Totally understand though, I'm sure it's coming!

    Any suggestion for recurring tasks that need to be tied to a project? I have about 20-30 projects at any given time each with a mandatory status update email that needs to be sent to the customer every 30 days based on the start date of the individual project. I have my project and task templates setup but there's no option for recurring tasks inside a project. TIA

      Ah yes, recurring tasks in projects is coming, I've requested this to the team and have seen many others as well. What I've done to solve this for now is actually using custom fields (or tags) to group together tasks into a project. Tough without seeing how you're using projects, but you might consider using a dropdown custom field for customer and then grouping tasks together by that custom field (we were doing that but with tags, it was before custom fields existed). So you might have a project with tasks that are tied to a customer, and also tasks outside of that project for that customer, but the same custom field. While it might sound a bit odd, it's actually how we have our customer workspace set up because a customer might have multiple projects or tasks that don't really fit into a project, so it allows us to be more flexible with our work and still have it categorized at a higher level, treating projects as a lower level to the custom field grouping, if that makes sense? When creating the project, you'll just then want to duplicate (or create a task template) for recurring status update and set the date relative to the customer project. From a technical perspective, it's a bit tough because projects are finite and recurring tasks are infinite (no deadline), so there's logic that needs to go into, have a task recurring but stop when the project stops, and make sure recurring project tasks also don't hold up flows. It's just a bit more complicated than it might sound, but believe me, I've wanted it as well 🙈

    So the question would be - what if you were a small-mid size company - but qualify to use either Bill Speed or Ramp- which would you go too-let me add- and your focus is not on billing or creating of invoices but the focus would be about bill pay and tracking , budget

      So just as a quick follow up to that question- is there a specific reason you lean toward Ramp- better tracking? What I am frustrated with is my CPA has an accountant that does the books.. But actually she really doesn’t - and I don’t get the quarterly reports that I have been asking for.. I have QB to integrate into and looking to see if this would be a benefit- so as far as the Virtual CC are they then running credit reports to it impacts our credit score

      If you're a small business and worried about credit score (I'm pretty sure neither BILL nor Ramp run your credit score, we signed up for both and didn't get our credit score pulled, they just require you connect your business bank account for them to see the balance). In general, Ramp just has a bit more backing from the VC world and is a bit further along than BILL S&E, although they are definitely focused on more larger business features and automation functionality. For example, if you're spending a lot on software (e.g. larger business) they have some data and negotiation functionality, but that's if you're spending over say $10K on a specific SaaS tool. It's more that if you're an SMB, BILL Spend & Expense's product is going to be more geared toward your needs. If you're a growing business and expect to have more admin and expense complexity with larger teams, Ramp is building workflows for that. You genuinely can't go wrong with either, it's just if you don't value the larger business features that Ramp is building, then go with BILL. I'm saying that if we were to be starting out today and able to use Ramp OR BILL S&E, we'd personally go with Ramp assuming we will continually have the $75K bank minimum.

      Ah, got it. Yeah BILL and Ramp are both business credit card solutions, if you have a proper business with an EIN number, there's no credit score that's pulled that I'm aware of. That's why Ramp has minimum requirements. With a business, there are other ways to see qualifications outside of an individual's credit score.

    Pinned tabs are not the same thing as bookmarks. While pinning does well with websites you use frequently, it's not really useful for resources you might not need for weeks/months. As a developer this comes up a lot. Thankfully arc is chrominium, so you can simply pin chrome's default bookmarks. So many people in the arc community seem to think bookmarks are somehow archaic since arc came along, but as someone who exclusively uses arc this makes 0 sense.

    What? Motion looks completely task-check-list-oriented? Notion allows you to create data bases and docs for all manner of onboarding and more comprehensive formats... Is a PM tool not a place where that's prerequisite? I'm sure Motion is effective at what it does, but to culminate this recommendation for an app that's only for check-lists is...

      I wouldn't say Motion is in any way just "task checklist oriented", you could say the exact same thing about Asana. Being a full team knowledge-base is not a prerequisite of a PM tool. In-fact, we believe that it shouldn't be "part of" the PM tool, as knowledge management is a completely different category to PM. Not to mention, much of the time we'll have all the notes in Motion-especially when using Flows, which you can see a sneak peek here: efficient.yt/motion - so when doing that, we can do everything from within Motion. If we have or need incredibly robust documentation that we want to evolve over time, then yes, we're going to use a proper Knowledge-Base like efficient.app/apps/slite or even Notion, but from a project management side, neither Motion or Slite are at all a PM tool. Adding "tasks" are a "feature" for them, not the product. Just saying, what you're saying is "Asana isn't a PM tool because it doesn't have full documentation/note taking), when in-fact it's the most popular PM tool on the market, so clearly teams have decided that this isn't a " prerequisite" of project management.

    Hey, great video - I bought Motion and really like using it. I only wish there would be a way to add a color to a project and its tasks. You mentioned that Motion is rolling out features fast, do you know if or when that is coming? Also a way to change the language of the booking page would be nice

Regarding changing the language of the booking page, I'd be surprised if that's planned at all, but I will say that 99.9% of browsers automatically translate the language upon visiting a page in a different language, so curious how important something like this is since it should already be solved at a browser-level? Good point regarding the project/task colors, for right now I think they are more reserving task colors for the actual status of the task, but I'm sure in time they will invest more into additional customization. We haven't particularly heard of this request before. Are there any other project management tools out there that allow for this?

      Yes, because Arc does a lot more complex things than Brave and Firefox so it needs a basic cloud account to sync. If you have an iPhone you can use Arc Search without registering for an account though.

    They nee a linux version of Arc. I find it very strange the went from MacOS directly to Windows. It should have been a esy jump to Liinux. the could have done a appimage

      Because it was built in Swift, I didn't think Swift to Linux is that easy of a jump? Also there are far more users on Windows than Linux, so if they're going for userbase, it's the right move to make. They also built and open sourced tech to make Swift run on Windows, so it makes porting from MacOS to Windows easier.

    Great thing that was mentioned in the video was the statistics of PMT usage by small and large organizations. After thinking much, I came to the conclusion that Google's Ecosystem is probably going to be your go-to for SMALL organizations.

      Haha it's because Wavebox is an incredibly kludgy tool. They are trying to be a "productivity browser" which doesn't look great and is trying to stuff in a bunch of perceived productivity features that aren't actually helpful. It's far from a proper and useful browser, which is why I'm sure nobody is talking about it 🤷‍♂️

    I have decided to use Brave as my default going forward. Tried Edge, Opera, Arc, Firefox..i prefer using Brave..it checks most of the boxes for "my use case" And, buddy, Brave had the sidebar for awhile. Their Leo ai is very decent too. I use a Windows 11 PC and Arc is very limiting in that platform. Its too sluggish and missing a lot of features. Lets be honest here. Arc is having a lot of hype. Don't know what's going on

      @@efficientapp Same. I am a team of one and every single project I have follows the exact same steps in the same order with little to no variation. Each task or step in the process is fixed in it's order and cannot be started until the previous task is completed first. And each task not only has it's own duration but also it's deadline window. For example, after an inspection I need to write a report. But obviously I can't start the report until after the inspection. The report takes about 2hrs to write and it's expected to be turned in within 2 days. The 2 day window to complete needs to start on the day the inspection task is marked complete which will change wildly from project to project based on the customer's availability to schedule the inspection with me. I've been trying to create this type of environment using blocking but it is clumsy. You can't assign blockers to tasks from within the project template creation window; so I had to create a sample project, then use that as the basis for creating a template. But it still doesn't work that great. Hoping flows may be the answer!

      Ah yes, Flows will help you with that. Just give it a few weeks before it's released, they are only onboarding teams at the moment since as you can imagine, Flows was built for teams, but obviously works for individuals as well. They are just more focused on team adoption and feedback while in beta. Just hang tight my friend!
